Responsibilities

  • Provide administrative support to the HR Director:
  • Maintain calendar and schedule appointments.
  • Prepare presentations, packets, handouts, etc., for meetings and events.
  • Make final edits and coordinate publishing of HR policies.
  • Provide administrative support to the Payroll and Benefits team:
  • Run HRIS reports to ensure information is up-to-date and current.
  • Add and maintain employee’s original probation information while working with supervisors on approval.
  • Enter status changes, promotions, demotions, etc., into Payroll/Benefits software and HRIS system.
  • Assist Payroll and Benefits team with completing and running bi-weekly payroll.
  • Provide administrative support to the Talent Acquisition team:
  • Coordinate onboarding and orientation with new hires and managers to ensure all participants have relevant information for a successful orientation.
  • Create offer letters and send out electronic new hire packets.
  • Process background checks.
  • Create and maintain various spreadsheets, accurate and up-to-date files, records, and documentation.
  • Answer frequently asked questions from applicants relative to standard policies and hiring processes.
  • Schedule interviews for applicants and prepare interview packets for hiring managers.
  • Oversee high volume, seasonal temporary hiring.
  • Assist with cross-posting of job advertisements on Facebook, LinkedIn, NDOT intranet, and other targeted industry-specific career sites.
  • Perform additional duties for the Human Resources team:
  • Process invoices and expense reimbursements for HR staff.
  • Order office supplies and coordinate office furniture purchases.
  • Request phone, computer, and system access for HR teammates.
  • Create and maintain files and records.
  • Perform data entry into various HR systems.
  • Prepare presentations, packets, handouts, etc., for meetings and events.
  • Perform document scanning/uploads to records.
  • Create and update HR event calendar.
  • Ensure all information and HR forms are updated and correct on all web platforms.
  • Perform other duties as assigned.
