Responsibilities

  • Managing signature requests and routing documents for execution
  • Assistance with creating and submitting leadership RFSs (Requests for Signature)
  • Coordinating signature collection and tracking completion
  • Maintaining contract and other document files and signature logs
  • Canva-fying presentations, documents, and other materials (deep knowledge of Canva required)
  • Editing PDFs and formatting legal documents
  • Maintaining team resources (Canvaworld, Canva Hub, Confluence)
  • Lead support coordination for two leads (one based in San Francisco and one based in Austin)
  • Calendaring team meetings and external meetings
  • Notetaking during meetings as needed
  • Assist with organizing and filing team records (e.g., closing sets, templates and forms)
  • Onboarding new team members
  • Managing team mail and correspondence in our San Francisco office in vibrant Jackson Square; coordinating with Austin and other offices on legal mail routed to those locations
  • Team budget management (counsel spend, celebrations and travel)
  • Supporting ZIP requests and ensuring timely invoice processing (e.g., Equity Admin and Ivo contract extensions)
  • Managing e-billing software, including onboarding vendors, setting up matters, and liaising with external counsel on invoice requirements
  • Following up with Legal Ops on invoice approvals within Brightflag to ensure smooth processing
  • Vendor management and support
  • Organizing team celebrations and bonding events (FFG and others)
  • Coordinating Canvaversaries, birthdays, and gifts
  • Onsite planning (agenda, sessions, logistics, activities)
  • Gathering team slides for Half Year and End of Year S&Ts (Show & Tells)
  • Team meeting support and coordination
