Responsibilities

  • Acts as resource person to all Recruitment and Admissions employees in the admissions area providing training, technical support and overseeing maintenance and data entry for business diploma, undergraduate and graduate programs applications.
  • Oversees the online Recruitment and Admissions application ecosystems and the diploma, undergraduate and professional graduate programs websites. Troubleshoots any technical difficulties encountered by prospective applicants. Provides recommendations to the unit’s senior leadership team for improvements and modifications regarding the online application systems and acts as an intermediary with the IT consultants.
  • Develops new reports from the online application systems to support admissions, pipeline management, application fees, deposit reconciliations and the student record matriculation process; this includes report creation and modification in the online application systems. Generates reports for statistical purposes.
  • Downloads admissions data from the online application systems. Imports electronic GMAT/GRE and English Proficiency Test scores into the online application systems. Troubleshoots and corrects problems when importing data from external sources into the online application systems.
  • Oversees the integrity of the admissions data through manual modification of database fields to correct errors with UBC IT’s and UBC Sauder BTMO’s support.
  • Ensures the security of the online application systems, working with UBC IT and Sauder BTMO to set up user access and monitor the integrity of the systems.
  • Evaluates transcripts for domestic and international applicants according to admission guidelines. Follows up on missing documentation and preparation of documentation. Refers unusual transcripts to the Faculty of Graduate Studies for evaluation.
  • Assesses applicants’ eligibility based on program requirements. Evaluates applicants’ test waiver and course exemption requests.
  • Reviews applicants’ deferral and fee refund requests based on the school’s policies.
  • Inputs academic, GMAT/GRE scores, English Proficiency Test (TOEFL, IELTS, MELAB, PTE, CAEL, etc.) results, work experience and other general information to the online application systems for received admission applications.
  • Assists the Associate Director, Admissions, and the Associate Manager, Admissions and Operations on broad-based admissions and readmissions evaluation of the undergraduate program (including the dual degree program).
  • Prepares ready-for-decision applications for the Admissions Committees to review.
  • Coordinates challenge exams scheduling and communications.
  • Responsible for the articulation process for Commerce courses transfer credit assessments and collaborates with course coordinators.
  • Composes correspondence to applicants independently, based on established guidelines, regarding admission requirements and the Admissions Committee's decisions on their applications.
  • Reconciles tuition deposits, application fees and preparatory course fees. Arranges the transfer of said fees to Financial Services, Faculty of Graduate Studies, and Enrolment Services.
  • Acts as a liaison with applicants, students, employees, faculty, Faculty of Graduate Studies, Enrolment Services and IT consultants. Answers inquiries from general public, academic advisors, students, applicants, and employees regarding online materials, programs websites, admissions, program requirements, registration and fees.
  • Analyzes all applicants’ academic performance, GMAT/GRE, English Proficiency Test results, and non-academic performance for fellowship consideration. Provides a ranked shortlist of suitable applicants to the Admissions Committee for approval.
  • Offers subject matter expertise on complex UBC Sauder admission policies and procedures.
  • Performs other duties within the qualifications and requirements of the job.
