Responsibilities

  • Manage the Vanderbilt License Portfolio by providing licensing analysis and procurement to advance the software management infrastructure and service of Vanderbilt University.
  • Coordinate the acquisition, renewal, and phase out of software licenses
  • Administer site and volume licenses as appropriate
  • Review, understand, and negotiate licensing terms and conditions included in site and volume license contracts
  • Interact with Legal and Purchasing staff as needed to implement new contracts and renew existing contracts
  • Monitor the effectiveness of the program and licensing of specific products
  • Provide analysis of software purchases and sales projections
  • Act as the agent for financing of the software licensing program through appropriate budget management and charge-back programs
  • Investigate and arrange for software licensing or volume discounts
  • Make legal and financial arrangements with software vendors, deemed to be in the best interest of Vanderbilt University
  • Manage license-tracking systems, management system, and on-line store of software license products
  • Manage the electronic software distribution service, including access to products stored on VUspace and the distribution of product key information
  • Manage the CD checkout library service
  • Coordinate license renewals and the distribution of product and product key updates
  • Serve as the liaison between the customer and the software vendor's technical support staff in providing software installation
  • Research and become familiar with core computing systems in use at Vanderbilt
  • Interact with IT staff, software vendors, local support providers, Local Area Network managers, ResNet staff, department purchasing agents, and people who hold similar positions at Vanderbilt
  • Solicit input from faculty, staff and students
  • Request assistance from our Legal offices and the Office of Purchasing as needed
  • Use ELMS for management of licenses
