Requirements

  • Bachelor degree in communication, business, economics or comparable or comparable vocational degree with respective work experience
  • Two years experience in delivering requested services and support
  • Keen interest in Marketing and events related topics
  • Ability to multitask whilst maintaining a great customer service focus
  • Strong planning and organizational skills: e.g. dealing with priorities and deadlines
  • Commitment to excel in a cross regional environment covering different time zones;
  • Very good interpersonal, communicational and problem solving skills
  • Fluent in written and spoken English; German is a plus but not required
  • Good knowledge of Microsoft office applications, especially Outlook, Excel and PowerPoint;
  • Ability to work independently
  • Initiative, proactiveness and sense of responsibility

Responsibilities

  • Support the DHL CSI Marketing and Sales Enablement Organization across a wide range of topics. Work with all functions and support with procurement, vendor management and compliance topics. Provide administrative support and ensure smooth day-to-day operations.
  • Facilitate vendor management and reporting – including sourcing, business reviews and reporting (e.g. usage, quality)
  • Manage the procurement process: be key liaison to Procurement function, provide expertise and consult marketers, facilitate purchase orders through our internal systems and processes (e.g. GeT); overlook the invoicing process etc.
  • Coordinate the compliance process and be expert resource to marketers on compliance related matters
  • Project manage the events hub @dhl.com – drive ongoing enhancements, ensure quality, facilitate ongoing updates to pre-/ and post event pages
  • Manage the DHL events calendar – drive update process, share the latest updates with the respective stakeholders on a monthly basis
  • Support events related reporting - Tracking throughout the year of events figures (Scorecard)
  • Supporting the Events team with desk research: venues & supplier search, RFQ etc.
  • Support with the planning for upcoming events/ webinars
  • Be part of organizational team for internal events, team activities etc
  • Drive relevant projects for the team on an as need basis
  • Creation and Handling of reports, statistics, presentations and internal communications
  • Own various administrative processes, e.g. team calendar, team newsletter, team meeting organization etc
